Picture a Tuesday morning. You are in Lisbon for three weeks, or at a client site in Phoenix, or simply working from home and tired of mail piling up at the curb. A letter from the Franchise Tax Board arrives in Newport Beach, and within hours you are looking at a scan of the envelope on your phone. That is a virtual mailbox at work. Since we are also a Notary Newport Beach office, we can handle the one form every new mailbox holder needs at the same visit. Here is how the service runs, day to day.
What is a virtual mailbox?
A virtual mailbox is a real street address at a mail center where staff receive your mail, scan it, and handle each piece according to your instructions. You manage everything from a phone or computer instead of visiting a box in person.
The business receiving your mail is called a Commercial Mail Receiving Agency, or CMRA. That is the USPS term for a private company authorized to accept mail on a customer’s behalf. Your address includes the street address of the center plus your box number, written with “PMB” (private mailbox) or “#” before it.
What happens when a piece of mail arrives?
The envelope is logged and the outside is scanned, and you get a notification. You can see the sender, the size of the envelope and anything printed on the front before deciding what to do with it.
This step matters more than it sounds. A bank statement, a jury summons and a credit card offer all look different on a scan. You can deal with the important ones the same day and ignore the rest.
What can you do with each piece of mail?
For each item, you choose an action from your account. The options most virtual mailbox services offer are:
- Open and scan, so you can read the full contents as a PDF
- Forward the original to wherever you are, in the U.S. or abroad
- Hold it at the center until you pick it up
- Shred it securely if it is junk or no longer needed
Most people settle into a rhythm. Junk gets shredded, statements get opened and scanned, and anything with an original signature or a check gets held or forwarded. Plans differ in how many scans or forwards they include, so ask which actions your plan covers.
How are packages handled?
Packages from any carrier, including UPS, FedEx, USPS, DHL and Amazon, can be delivered to a CMRA street address. When a package arrives, you are notified, and it is held until you pick it up or ask for it to be forwarded.
That is one of the clearest differences from a USPS PO Box, which generally cannot accept deliveries from private carriers.
What paperwork do you need to open a virtual mailbox?
USPS requires every CMRA customer to complete PS Form 1583, the Application for Delivery of Mail Through Agent. It authorizes the mail center to receive mail for you, and it is required under federal postal regulations.
You will need two current forms of identification. One must have a photo ID, such as a driver’s license or passport. The other must confirm your address, such as a lease, a mortgage statement, a vehicle registration or a home insurance policy. The form must be signed in front of a CMRA employee who checks your IDs, or notarized.
Since the 2023 update to Form 1583, each adult needs their own form. Spouses who share one mailbox each complete one, with their own two IDs.
Can a Notary Newport Beach office help with Form 1583?
Yes. If you are opening a mailbox with us, our staff verify your IDs and witness your signature at the counter. If you are setting up a mailbox with another provider and they ask for a notarized Form 1583, our notary can handle that too.
Who uses a virtual mailbox?
The service suits anyone whose mail and their physical location do not line up. Common examples include frequent travelers, part-time residents who split the year between Newport Beach and somewhere else, RV owners and remote workers. Small business owners use one to keep their home address off their website, business filings and invoices.
Privacy and security are a large part of the appeal. Your mail sits inside a staffed business instead of an outdoor box, which cuts down on theft and keeps sensitive documents out of sight.
Is a virtual mailbox address accepted everywhere?
Most banks, retailers and government agencies accept a CMRA address for mail. Some uses are restricted. A few agencies require a residential address for certain records, and some states limit using a mailbox address as a registered agent or primary business location. Check with the agency involved before you rely on it for a filing.
