A gift that arrives on time, in one piece and still wrapped tells the person on the other end that you planned for them. A crushed box that shows up three days after the birthday tells a different story. Many people stop by our Notary Newport Beach office for signatures, but just as many come in with a gift, a card and a question about how to get both across the country. Here is how to wrap, pack and time a long-distance gift so it lands the way you pictured it.
Can you ship a gift-wrapped box on its own?
No, not safely. Wrapping paper is not a shipping container. Sorting equipment tears it, shipping labels stick to it badly, and rain or a damp truck floor can ruin it before the box arrives.
Wrap the gift first, then place the wrapped present inside a separate shipping box. That way the recipient opens a plain box and finds the wrapped gift inside, exactly as you intended.
How do you keep wrapping intact during shipping?
Give the wrapped gift at least two inches of cushioning on every side inside the outer box. Crumpled kraft paper or air pillows hold it in place without scuffing the paper. Loose packing peanuts can shift and leave the present resting against a box wall.
A few details help the wrapping survive:
- Put bows, ribbon flowers and tags in a small bag and tuck it beside the gift, rather than attaching them before shipping. Pre-made bows flatten under almost any pressure.
- Use a gift box under the paper instead of wrapping an odd-shaped item directly, so corners stay crisp.
- Wrap glossy or metallic paper in a layer of tissue first if the box is tight, since those papers scuff easily.
Where should the card go?
Put the card inside the shipping box, on top of the wrapped gift, so it is the first thing the recipient sees. Taping it to the outside of the box risks it tearing off in transit, and it can be mistaken for packing paperwork.
If the card is going separately by mail, check its shape and thickness. USPS charges a nonmachinable surcharge on letters that are square, rigid, or have bulky decorations like ribbons or buttons, because they cannot run through automated sorting. A square greeting card with one regular stamp may come back to you or arrive with postage due.
Add a small slip inside the box with the recipient’s name and address, plus your own. If the outer label is damaged, the carrier can still deliver it.
How early should you ship a long-distance gift?
Ship so the gift is scheduled to arrive two or three business days before the occasion. That buffer absorbs weather, a missed delivery attempt or a busy week at the carrier.
From Newport Beach, ground shipping to the East Coast typically takes four to five business days, and somewhere in the Midwest about three to four. USPS Ground Advantage runs about two to five business days, and Priority Mail one to three. For a birthday on a Saturday, a gift going to Boston by ground should leave by the Monday of the week before, not the Wednesday of the same week.
For the 2026 holidays, USPS recommends sending Ground Advantage packages by December 17 and Priority Mail by December 18 for expected delivery before Christmas in the lower 48 states. Hanukkah runs December 4 through 12 this year, so gifts for the first night need to go out in late November.
What if nobody will be home when it arrives?
Plan the delivery around the recipient’s schedule. Packages left on a porch for hours are an easy target, and a gift that requires a signature can bounce back to a depot if no one answers the door.
Ask whether they would rather receive it at work, at a neighbor’s house or at a secure package location. Avoid requiring a signature unless the gift is valuable, and if it is, send tracking so they know to expect it.
Can a Notary Newport Beach shop handle the whole gift?
Yes. We carry a selection of gifts, greeting cards and stationery, offer gift wrapping, and pack and ship the finished present. You can walk in with an idea and walk out with a tracking number.
Make the distance feel smaller
Wrap the gift, ship it inside its own cushioned box, put the card inside on top, and plan for it to arrive two or three days early. Visit our Notary Newport Beach location at 2618 San Miguel Drive to choose a card, have your gift wrapped and send it on its way.
